Valid passport (18+ months validity) Student/exchange visa Rotary acceptance letter and programme documents Host family contact details (printed copy) Travel insurance documents Return flight ticket School leaving certificate / academic transcripts Medical records and vaccination certificate Emergency contact list (printed) 4–6 passport-sized photographs

Health & Medical

Full medical and dental check-up completed All required vaccinations up to date Sufficient supply of any prescription medication Doctor's letter for any ongoing medication Travel insurance with medical cover confirmed Copy of blood group and medical history

Money

Forex card or international debit card organised Some cash in destination country currency for arrival Bank informed of travel dates Monthly allowance arrangement confirmed with parents Understanding of Rotary's pocket money guidelines

Packing

Rotary blazer and badge Indian gifts and souvenirs for host families (recommended) Appropriate clothing for destination climate Adaptor plug for destination country Unlocked mobile phone Laptop or tablet for school (check with host district) Photos of family and home to share with host family

Before You Leave

Pre-departure orientation camp attended Rotary Code of Conduct signed Host family introduction call completed School in India informed and gap year/leave approved Social media guidelines reviewed Emergency procedures understood
